Accounting & Finance Associate

Job Summary
The Accounting & Finance Associate will play a critical role in managing the company’s daily and monthly financial operations. This position requires a highly organized individual with strong analytical skills, attention to detail, and proficiency in accounting processes. The successful candidate will ensure accurate and timely financial reporting, maintain up-to-date records, and support the company’s financial health.
Key Responsibilities
Daily
Process all daily invoices.
Receive and verify consolidated invoices for accuracy.
Record all credit card purchase transactions daily in the accounting system.
Enter all credit card invoices daily, ensuring proper categorization.
Update bank accounts daily to reflect accurate balances.
Maintain up-to-date records of all vendor and supplier expense transactions.
Conduct daily expense analysis to monitor spending patterns.
Perform daily vendor invoice analysis to ensure accuracy and compliance.
Prepare daily company cash and credit card balance reports for management review.
Conduct ad hoc financial analysis as requested by management.
Manage accounts receivable, including tracking payments and following up on outstanding invoices.
Monthly
Process remittance and payment for all sales tax transactions in compliance with regulations.
Formulate the monthly Profit & Loss (P&L) budget for the company.
Prepare and report monthly actuals, comparing them to budgeted figures.
Assist with the preliminary monthly close process to prepare for the CPA’s official close.
Support additional month-end tasks as needed, including reconciliations and reporting.
Qualifications
Education: Bachelor’s degree in Accounting, Finance, or a related field preferred; Associate’s degree or equivalent experience may be considered.
Experience: Preferably 1+ years of experience in accounting, bookkeeping, or a related financial role.
Recent college graduates are strongly encouraged to apply.
Skills
Proficiency in accounting software (e.g., QuickBooks Desktop).
Strong knowledge of Microsoft Excel and Google Sheets for financial analysis.
Excellent attention to detail and organizational skills.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Strong communication skills for collaborating with team members and vendors.
Understanding of basic accounting principles, including accounts receivable, invoicing, and budgeting.
